Terms of Service

These terms are the agreement between you and Youakeem Studio, a sole proprietorship (enskild firma) based in Sweden that operates RegimePlan ("RegimePlan", "we", "us"). They cover the RegimePlan website, the staff dashboard and the client app. By creating an account or using RegimePlan, you agree to them. If you use RegimePlan for a practice or a company, you accept these terms on its behalf and confirm that you're allowed to.
Two other documents are part of these terms: our Privacy Policy and our Refund and Cancellation Policy.
1. Who RegimePlan is for
RegimePlan is software for nutritionists and other nutrition professionals to plan their clients' meals, follow their progress and run their practice. In these terms, the business that uses it is your "practice", and the people you coach are your "clients".
RegimePlan is for professional use. You use it as part of your work, not as a consumer, and you must be at least 18 years old to create a staff account.
Your clients use the client app through your practice: you invite or accept them, and they see the plans you publish. They don't pay RegimePlan and have no separate service agreement with us. You are responsible for your clients' use of RegimePlan, and the rules in section 9 apply to them as well.
2. Your account
- Give us accurate details when you sign up, and keep them current. We verify your phone number with a one-time code.
- Keep your password to yourself. You are responsible for what happens under your account and in your practice, including anything done by people you give access to it.
- Tell us straight away at business@youakeem.com if you think someone else has used your account.
3. The service
We keep improving RegimePlan, so features change: we may add, change or remove them. If we remove a feature your practice relies on in a way that significantly reduces what you get, we'll tell you in advance where we can.
We work to keep RegimePlan available and reliable, but we can't promise that it will always be available or free of errors. We may need to pause it for maintenance, and services we rely on, such as hosting, WhatsApp or AI providers, can fail.
4. Subscriptions and credit
Offerings
Your practice's subscription gives it one of four offerings: Free, Growth, Pro or Clinic. Each sets how many active clients the practice can have at a time, and how many staff members, counting the owner and pending invitations. Free costs nothing.
The limits of each offering and the prices of Growth, Pro and Clinic are shown in Billing and on our website, and a year costs the same as 10 months. A price change never affects a period you've already paid for, and a lower limit never takes away access someone already has. Every practice starts on Free, and a paid offering only applies if you choose it. An active client is one whose meal plan is ongoing. Clients on file, drafts and templates have no limit, but once your practice reaches its limit of active clients, a plan for another client can't be published until one of the ongoing plans ends. We may change what Free includes, and we'll tell you at least 30 days before a change that reduces what your practice gets for free.
Paying for an offering
Growth, Pro and Clinic are paid in advance, for a month or a year at a time, by Instapay, Egypt's instant bank transfer. In Billing, choose the offering and the period. Then send the amount due by Instapay to the address shown there, with your practice's payment reference in the transfer note, and upload the receipt. The offering applies once the payment is confirmed, usually within minutes, or otherwise after we check it by hand.
Nothing renews automatically. To keep a paid offering, pay for the next period. If you pay before the current period ends, the new one starts when the current one ends.
When a period ends
When a paid period ends, your practice keeps its offering for 7 more days of grace, then moves back to Free. Nobody loses access: running plans and current staff stay, and only new plan cycles and invitations follow Free's limits.
Changing offerings
To move to a higher offering during a paid period, you pay the difference for the days left, and the period keeps its end date. To move from monthly to yearly, you pay for a year less the unused part of your current month, and the year starts when the payment is confirmed. A move to a lower offering, or from yearly to monthly, applies from your next period.
Credit
The AI features run on credit: a prepaid balance in US dollars that belongs to your practice and that all its staff draw on. Each time an AI feature runs, its cost is taken from the balance. That covers Plan Copilot (including dictation), dish import, meal option suggestions, ingredient details and dish photos. It also covers the estimates your clients ask the client app for when they log a meal from a photo, a description or a food label. Each charge follows what the AI provider charges for that operation, plus our margin, so it varies with the work done. Billing shows your balance and its history. WhatsApp messages don't use credit.
Buying credit
You buy credit in fixed amounts of $10, $25 or $50. Credit is always a balance in US dollars, and you can pay for it in two ways:
- By card. Dodo Payments processes the purchase as the merchant of record, and sales tax or VAT is added at checkout where it applies. The credit is added to your balance once Dodo confirms the payment.
- By Instapay, in Egyptian pounds, paid to us directly and not through Dodo. The amount is the day's exchange rate plus 3%. You see it before you pay, and it's fixed when you create the payment. The credit is added to your balance once the payment is confirmed.
Using your balance
An AI feature needs a balance of at least $0.10 to start. An operation that has already started may finish even if it takes the balance below zero; the next purchase covers that amount first. Below $0.10, your clients can still log meals and scan barcodes, but the client app can't estimate a meal for them. Credit doesn't expire while your account is open. It has no cash value and can't be moved to another practice or exchanged for money. We may also add free credit to your balance, and it works the same way.
Refunds
A paid period isn't refunded, not even the part you haven't used, and credit can't be refunded once bought. The exception is a payment made by mistake, and the Refund and Cancellation Policy explains how that works.
5. Your clients and their data
You decide which clients to take on, what your intake asks them and what you record about them. Because that information often includes health data, you are responsible for:
- having a lawful basis to collect and use your clients' data, including their explicit consent where the law requires it for health data;
- telling your clients how you use their data. You can point them to our Privacy Policy for how RegimePlan handles it;
- answering your clients' requests about their data, such as a request to see, correct or delete it. We'll help you where you need us to;
- holding any qualification, licence or registration your work requires.
We handle your clients' personal data on your behalf, under the data processing terms in section 11.
6. Health information and AI
RegimePlan is a tool for professionals. It doesn't give medical or nutrition advice, it isn't a medical device, and it isn't meant for emergencies. The plans, advice and decisions you give your clients are yours, and so is the professional responsibility for them.
Several features use AI to make suggestions or estimates: Plan Copilot, meal option suggestions, dish import, ingredient details, dish photos, and the meal estimates in the client app. AI output can be wrong or incomplete, and so can nutrition figures in general. Check what the AI suggests before you rely on it:
- Plan Copilot changes a draft only after you agree to the change, and your clients see a plan only after you publish it.
- Ingredient details and imported dishes are saved only when you save them.
- Dish photos are generated to illustrate a dish, and your clients see them as they are.
- When a client logs a meal that isn't on their plan, the client app can estimate it from a photo, a description or a food label. The client reviews the estimate before logging it. Treat the values logged this way as estimates.
7. WhatsApp
You can connect your practice's own WhatsApp number to message your clients from RegimePlan. You are responsible for that number, for following WhatsApp's own terms and policies, and for messaging only clients who agreed to it. The client app asks clients for that agreement when they verify their phone number, and lets them turn WhatsApp messages off and back on at any time. If a client asks you to stop in another way, record it from their chat in RegimePlan.
When you use Meta's WhatsApp Business Platform, Meta bills the messages to your WhatsApp Business account directly. WhatsApp may limit or block a number under its own rules, and we are not responsible for WhatsApp's decisions or outages.
8. Packages and your clients' payments
You can offer your clients packages and tell them how to pay you. Your clients pay your practice directly, by the payment methods you set up. RegimePlan doesn't process, hold or guarantee those payments and isn't a party to that sale. You are responsible for your prices, receipts, taxes and refunds, and for the consumer rules that apply to what you sell. A payment proof your client uploads is stored as one of their files.
9. Acceptable use
Don't use RegimePlan to:
- break the law, or help someone else break it;
- upload personal data or content you have no right to share, or content that is unlawful or infringes someone's rights;
- send messages people haven't agreed to receive;
- access another practice's data, or probe, scan or test RegimePlan's security without our written permission;
- get around limits, charges or security measures;
- copy, resell or reverse engineer RegimePlan, or use it to build a competing product;
- overload the service, or reach it by automated means other than the features we provide.
10. Your content and ours
You own the content you add to RegimePlan: your clients' records, plans, dishes, templates and notes. You give us permission to store, copy, process and display it only as far as we need to run RegimePlan for you, including by sending it to the service providers listed in our Privacy Policy.
We own RegimePlan itself: the software, its design, the RegimePlan name and logo, and the default ingredient catalog. We give you a personal, non-exclusive and non-transferable right to use RegimePlan under these terms. If you send us feedback or ideas, we may use them without owing you anything.
11. Data processing terms
When we process personal data for your practice, such as your clients' data and the details of the staff you add, you are the controller and we are the processor. For that data, we:
- process it only to provide RegimePlan and on your documented instructions, which are these terms and the way you use the product, unless the law requires otherwise. In that case we'll tell you first, unless the law forbids it;
- make sure everyone who can access it is bound by confidentiality;
- protect it with the security measures described in our Privacy Policy;
- use only the service providers listed in our Privacy Policy, under written contracts that protect the data at least as well as this section. We'll update that list before we add or replace one. If you object and we can't resolve it together, you may close your account;
- help you answer your clients' requests to use their rights, and help you with security, breach notifications and data protection impact assessments, as far as the information we have allows;
- tell you without undue delay after we become aware of a personal data breach that affects your data;
- delete the data when your account closes, as the Privacy Policy describes, unless the law requires us to keep it. Before you close your account, you can ask us for a copy;
- give you the information you need to show that this section is being followed, and allow an audit by you or an auditor you appoint, at your cost, with reasonable notice and no more than once a year unless a regulator requires it;
- transfer the data outside the EU or EEA only with a safeguard the law accepts, such as the European Commission's standard contractual clauses.
This section is meant to meet Article 28 of the EU General Data Protection Regulation and similar laws, such as Egypt's Personal Data Protection Law (Law No. 151 of 2020).
12. Suspension and closing your account
You can stop using RegimePlan at any time. To close your account, email us from the email address on it.
We may suspend or close an account that breaks these terms, puts clients, other practices or RegimePlan at risk, or that we must close by law. Unless it's urgent or the law prevents it, we'll tell you first and give you a chance to fix the problem.
If we decide to stop offering RegimePlan, we'll tell you at least 30 days in advance so you can use your credit and ask for a copy of your data.
When an account closes, we delete its data as described in our Privacy Policy, and neither a paid period that's still running nor the credit left in it is refunded. The sections of these terms that by their nature should continue, such as sections 10, 13, 14 and 16, still apply after an account closes.
13. Disclaimers
We provide RegimePlan "as is" and "as available". As far as the law allows, we don't promise that it will meet your particular needs, that it will run without interruption or errors, or that AI output and nutrition data will be accurate or complete.
14. Liability
As far as the law allows:
- we are not liable for indirect or consequential loss, such as lost profits, revenue, business or goodwill;
- our total liability for all claims in any 12-month period is limited to the higher of the amount you paid us in those 12 months and 100 US dollars.
These limits don't apply where the law doesn't allow liability to be limited, such as for damage caused intentionally or through gross negligence.
You are responsible for the advice and services you give your clients. If someone brings a claim against us because of your advice, your content or your breach of these terms, you'll cover our reasonable costs of dealing with it.
15. Changes to these terms
We may update these terms. We'll tell you about an important change by email or in RegimePlan at least 30 days before it takes effect. If you don't agree with it, you can close your account before then. Smaller changes, such as clarifications, take effect when we publish them here with a new date.
16. Governing law and disputes
These terms are governed by Swedish law, without regard to its conflict-of-law rules. Disputes go to the Swedish courts, with the district court (tingsrätt) where Youakeem Studio is based as the first instance. Before going to court, please contact us so we can try to resolve the problem together.
If the law gives you protections that can't be excluded by agreement, these terms don't take them away.
17. General
- These terms, the Privacy Policy and the Refund and Cancellation Policy are the whole agreement between you and us about RegimePlan.
- If a court finds part of these terms invalid, the rest still applies.
- If we don't enforce a right straight away, we haven't given it up.
- We may transfer this agreement to whoever takes over RegimePlan, and we'll tell you if we do. You need our written agreement to transfer it.
- Neither of us is responsible for delays or failures caused by events beyond reasonable control.
- We send notices to the email address on your account.
- These terms are available in English and Arabic. If the two versions differ, the English version applies.
